Personal Assistant, Treliving Private Investments Ltd.

Looking for an opportunity to make a real impact? We’re currently recruiting for a Personal Assistant to join our amazing team of talented employees. This is a hybrid role and will work in several locations including our office in Richmond, British Columbia, a personal residence in Vancouver, and remotely from your home office, as such we are looking for a candidate located in the Greater Vancouver Area.

What you do:

As a member of the Treliving Private Investments team, you will be responsible for providing both personal and administrative support to the Chairman and Owner and their spouse.  In this role, you will be expected to provide:

Administrative Support

  • Manage and organize the calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Maintain files of all executive documents including correspondences, itineraries, meetings, emails either in personal files in conjunction with Human Resources, or in the central filing system.
  • Assist with budget management, submitting expense reports and coding, and financial documentation.

Travel Coordination

  • Plan and manage all personal and business travel (domestic and international), including flights, accommodations, transportation in alignment with preferences and needs.
  • Manage and maintain detailed calendars and itineraries for complex travel schedules.

Meeting and Event Planning

  • Organize and coordinate meetings, events, and conferences, ensuring all logistical details are managed.
  • Prepare agendas, take minutes, and follow up on action items.
  • Register executives in various courses, events, conferences, and seminars.
  • Manage memberships for different organizations and associations they are affiliated with, responding on their behalf for receptions, parties and social events, workshops, and presentations.

Personal Errands and Tasks

  • Assist with personal tasks and errands as needed, ensuring seamless support in both personal and professional areas.
  • Limited duties related to management or maintenance of the personal residence may be required.

Confidentiality and Discretion

  • Maintain the highest level of confidentiality and discretion in all matters.
  • Handle sensitive information with integrity and professionalism.

Who you are:

  • You have at least 5 years’ experience as a Personal Assistant, Executive Assistant, or in a similar role supporting a high-profile individual.
  • You maintain a high degree of professionalism while working with deadlines.
  • You are skilled at handling highly confidential, sensitive material and correspondence with discretion.
  • You are experienced in managing international travel and complex itineraries.
  • You have superior communication skills (both oral and written).
  • You are detail-oriented, and able to handle a wide range of tasks with efficiency.
  • You are a proactive team player, but also able to perform well independently.
  • You have a high degree of accuracy and attention to detail and have good judgment when anticipating what is required.
  • You have advanced skills with MS Word, Excel, Outlook, and Power Point.
  • You have a valid BC Drivers license and reliable transportation.
  • You are flexible with schedule and hours. This role may not always follow standard business hours.

The annual base salary for this role is $73,500 - $83,000.
